How to follow up an email enquiry without losing the human touch

The first email often asks several things at once. A thoughtful workflow should answer what the business actually knows, record the opportunity and stop following up when the customer responds or opts out.

Read the enquiry in context

Identify the person’s main question, the service they mean and any timing or urgency. Check approved business knowledge before drafting a response. When a fact is missing, ask a useful question or pass it to a team member instead of inventing an answer.

Update the lead and keep the thread visible

Save the topic, stage and any next action alongside the conversation. A staff member should be able to open the inbox and see what was said, why a handover occurred and whether a reply was sent.

Make follow-ups optional and permission-aware

A business may enable a first follow-up after about 24 hours and a second after about three days if the customer stays quiet. NEmployee only sends these automated emails to leads marked as opted in; a reply, opt-out or human takeover stops the sequence.

A follow-up should refer to the original enquiry and offer a useful next step. It should also tell the person how to stop further emails. Your business remains responsible for deciding whether the message and its permission basis are appropriate.

Review what works

Look at the number of enquiries, response time, qualified leads and handovers. These measures are more useful than sending more messages by default. If a particular question keeps appearing, improve the approved answer.
