This notice explains how Nesdzo handles personal information through NEmployee at employee.nesdzo.co.uk. It covers visitors, business account users and people who contact a business using the service.

Who is responsible
Nesdzo operates NEmployee and is responsible for account registration, platform administration, billing and website security. Contact us at contact@nesdzo.co.uk.
When a business connects its own customer channels, that business normally decides why and how it uses its customers’ enquiries. Nesdzo processes those conversations to provide the service to that business. If you contacted one of our business customers, contact the business first about its own privacy practices or a particular enquiry. We can help route a request where appropriate.
Information we use
- Account and business details: name, work email, password hash, business profile, services, opening hours, approved knowledge, team access and account preferences.
- Customer enquiries: contact details, messages, channel identifiers, attachment indicators where a channel provides them, lead notes, appointment or quote requests, AI-generated summaries and conversation status.
- Billing details: plan, subscription and payment status, Stripe customer references and invoice-related records. Stripe collects card details at checkout; NEmployee does not store full card numbers.
- Technical information: session cookies, IP address used for abuse prevention, security and audit records, and request information supplied by the browser or connected service.
Some enquiries may contain sensitive information, including health information. Businesses should avoid asking for more than is needed and should set appropriate notices and instructions for their own customers.
Why we use it
Creating an account requires the information needed to identify and secure it; optional profile fields can be left blank. We do not sell customer conversations or use them to make a solely automated decision with legal or similarly significant effects.
AI, matching and connected channels
For a connected business, NEmployee uses approved business knowledge and relevant conversation context to draft replies, classify enquiries, prepare lead profiles and identify when a person should step in. AI requests are sent through OpenRouter and may be handled by the model provider selected by the platform administrator. A staff member can review or take over conversations.
When someone writes through another channel, the service may compare limited identity and enquiry clues with earlier leads. An uncertain match should lead to a clarifying question; a similar name or topic alone should not expose a private earlier conversation. The business can review lead records and correct mistakes.
WhatsApp and Instagram messages pass through Meta’s services. Business email is read from and sent through the connected business’s IMAP and SMTP providers. Image and other attachment messages are flagged for staff review rather than used as a medical or technical diagnosis. Website and booking integrations can use the REST API. A business may create a private iCalendar feed of appointment service, location and status without customer names; anyone given that private URL can access the feed until it is replaced. Email follow-ups are optional and are restricted to leads marked as opted in; replies, opt-outs and human takeover stop the sequence. A business remains responsible for deciding whether it may send each follow-up.
How long information is kept
Account, business and conversation information is kept while the workspace is active and needed to provide the service. Authorised users can delete individual leads and related conversations in the workspace. When an account closes, we review remaining data and remove it when no longer needed, subject to billing, security, dispute or legal record-keeping needs. Those needs, rather than one fixed period for every record, determine retention. Contact us about a specific record or closure request.
Session cookies keep users signed in; they are necessary for the workspace. We do not currently place third-party advertising or analytics cookies on this site. If that changes, this notice and any required cookie controls will be updated.
Your choices and rights
Depending on the circumstances, you may ask to access, correct, erase or restrict use of your information, object to processing, or receive a portable copy. Where processing depends on consent, you can withdraw it. To exercise a right concerning your NEmployee account, email contact@nesdzo.co.uk. For a customer enquiry held for a connected business, please contact that business; we will assist it with valid requests.
You can complain to the UK Information Commissioner’s Office at ico.org.uk. We may update this notice when the service or its providers change and will show the new date here.
